How to Use a Different Signature for Each Email Account in Apple Mail

Updated July 2026 · 6 steps

Work email deserves the full professional signature; your personal address doesn't need your job title. Apple Mail handles per-account signatures well — once you know the assignment model.

Step by step

1

Understand the model

In Mail → Settings → Signatures, the LEFT column lists your accounts plus “All Signatures.” A signature only appears for an account it's been assigned (dragged) to.

2

Create each signature

Select the account → click + → name it clearly (“Work — full”, “Personal — short”). Creating it under the account assigns it automatically.

3

Set each account's default

With an account selected, the Choose Signature dropdown at the bottom sets what's auto-applied. “In sequential order” / “At random” exist for multiple signatures — most people want one fixed default per account.

4

Switch per-message when needed

In any compose window, the Signature dropdown (next to From) overrides the default for that one email.

5

Mind the From address

The signature follows the account you're SENDING from — if you have aliases on one account, they share that account's signatures. Separate accounts = separate signatures.

6

Multiple designed signatures, no pain

Building several polished signatures (one per business, per role) is where manual methods get tedious — Autograph's library holds them all, each a one-click install to its account.

A library for all your signatures

Keep every account's signature designed and ready in Autograph — each installs to Apple Mail in one click, and your iPhone gets them via QR.

Common questions

Can two accounts share one signature?

Yes — create it under All Signatures and drag it onto both accounts. Edits apply everywhere it's assigned.

Why is the signature missing when I compose?

You're composing from an account the signature isn't assigned to, or that account's Choose Signature default is None.

Do per-account signatures sync to my iPhone?

No — iPhone keeps its own per-account signatures (Settings → Apps → Mail → Signature → Per Account). Set them there; the QR flow works per signature.
