The Teacher's Email Signature: Professional, Compliant, and Parent-Friendly
Teachers send email to parents, students, and administrators all day — three audiences, one signature. Here's what belongs in it, what your district may require, and the two-minute setup.
Step by step
Name, role, school
Full name, role (“Grade 5 Teacher”, “Head of Mathematics”), school name — the three things a parent scans for. Add the district if your school's name is ambiguous.
Contact expectations
School email and phone/extension, plus office/availability hours if you keep them (“Responses within 24h on school days” saves a hundred awkward follow-ups).
The optional layer
Pronouns if you choose, classroom page or booking link for parent-teacher conferences, school logo if the district permits it. Skip personal social media entirely.
Check district policy
Many districts have communication policies covering signatures — required disclaimers (confidentiality/FERPA-adjacent language), logo usage rules, or mandated formats. Five minutes with the staff handbook beats a correction email from the office.
Keep it disclaimer-light unless required
If your district requires a confidentiality notice, style it small and gray below the signature — the disclaimer templates do this automatically.

Should teachers include a photo?
Usually no — unlike sales, a photo adds little for parents and some districts discourage it. A clean text signature with the school name carries the authority.
What about a quote or classroom motto?
Resist. Inspirational quotes are the most-mocked signature element in existence; your role and school ARE the message.
Can I have a different signature for parents vs colleagues?
Apple Mail supports multiple signatures per account — a formal one (default) and a short internal one you pick from the compose window's dropdown.
